FIRST PRESBYTERIAN CHURCH

Position Title: Church Business Administrator
Reports to: Pastor/Head of Staff
Classification: Exempt
Reviewed/Revised: September 2021

  • ACCOUNTABILITY

The Church Business Administrator is accountable to the Session through the Personnel Committee and reports to the Pastor/Head of Staff.

II. GENERAL DESCRIPTION
The Church Business Administrator (CBA) in concert with the Pastor/Head of Staff will manage the business operations of the church. The CBA will oversee the administrative, operational, and financial affairs of the church to enable First Presbyterian Church to advance its mission and vision.

III. RESPONSIBILITIES

A. Accounting and Financial Reporting

  • Supervise the Financial Manager.
  • Work with Session, Church Treasurer, staff, and committees to plan, implement, and monitor the annual church budget; report regularly on budget variances.
  • With the Session, develop a strategic financial plan, looking for ways to achieve a balanced budget.
  • Work closely with the Church Treasurer and Financial Manager to oversee the church’s accounting and financial reporting activities.
  • Work with appropriate staff and volunteers to continually improve efficiency and accuracy of financial record-keeping and reporting.
  • Approve purchase orders within authority and forward to Financial Manager for processing.
  • Oversee and ensure compliance with all regulatory and taxation requirements pertinent to FPC.

  • Assist in the preparation of church budgets by preparing work documents for budget review and revisions.

B. Human Resources

  • Recruit, orient, and assist in the training of new hires in coordination with ministry and program staff.
  • Ensure that all new hires, terminations, and assignments are consistent with legal requirements, specific policies, and approved budgets.
  • Review and approve all payroll.
  • Oversee and evaluate the administration of human resources policies, procedures, and benefits in conjunction with the Personnel Committee; help develop or revise policies and employee benefits as needed.
  • Serve as a resource for staff about human resource matters.
  • Maintain confidential employee records.
  • Maintain records of employee attendance and vacation, sick time, and personal days.
  • Assure the church’s compliance with federal, state, and local labor laws
  • Support other supervisors in coaching and performance-evaluation activities

C. Property, Facilities and Office

  • Oversee the safe, efficient, and cost-effective operations of the First Presbyterian Church building, offices, premises, and associated equipment.
  • Supervise Property Manager, Facility and Events Coordinator, and Church Coordinator.
  • Monitor budgets, looking for ways to improve, initiate, or change processes to ensure the church is operating as efficiently and effectively as possible.
  • Serve as aliaison with the Building and Grounds Committee for items that need their discussion and budget recommendation; regularly attend the Building and Grounds Committee.
  • Work with Session and appropriate staff and committees to plan and implement major facilities projects.
  • Work with staff to ensure optimal allocation and smooth transitions of shared space.
  • Supervise the security staff, insuring that FPC maintains a safe and hospitable environment.
  • Provide day-to-day leadership to direct-reports.
  • Hold regular meetings with operations and facility staff for the purposes of brainstorming, planning, delegating, scheduling, coordinating, problem-solving, and decision making.
  • Coordinate with Moderator, Clerk and Committee Chairs to produce monthly Session packets, annual Presbytery Statistical Report, material for Session box, correspondence and needed communication to members of Session.
  • Maintain Session Organizational Chart and list of each Committee & its members.
  • Maintain and update annually the Church Manual of Operations including all policies and forms.

D. Day School and Theater

  • Work with the Day School Director and Committee to plan, implement, and monitor the Day School budget; report regularly on budget variances.
  • Work with the Director of Fine and Performing Arts Ministry to plan, implement, and monitor the First Presbyterian Theater budget; report regularly on budget variances.
  • Work with the Day School and Theater to develop a strategic financial plan that results in balanced budgets.

V. QUALIFICATIONS

  • Bachelor’s degree in business or a related field; additional education and/or certification in related field preferred
  • Minimum of three (3) years of management experience, preferably with a church or other nonprofit organization
  • Knowledge of generally accepted accounting principles, internal control policies and procedures, payroll administration and related regulations, human resources administration, financial reporting, and facility management
  • Ability to lead and direct staff in the areas of administrative, facility, financial, human resources, operations, and project management
  • Ability to plan, organize, lead, and control results through others
  • Ability to maintain discretion and confidentiality
  • Ability to prioritize and multi-task in a fast-paced environment while remaining attentive to detail and accuracy
  • Highly proficient with Microsoft Office applications (including Word, Excel, PowerPoint, and Outlook)

Job Type: Full-time

Pay: $60,000.00 per year
