Position Summary

The Case Manager directly oversees and maintains the leave of absence (LOA) program which includes processes such as FMLA, ADA, Temporary Disability Insurance (TDI), Long Term Disability (LTD) and Reasonable Accommodations while ensuring compliance with all State and Federal laws. This role also supports employees during their transition back to work after an injury, illness or disabling condition by facilitating a realistic and proactive approach in partnership with leadership, and the injured employee, to determine temporary modified duty assignments in accordance with any injury-based restrictions. Directly assisting employees as they re-enter the workforce, while they re-build specific work skills and demonstrate the behaviors needed for long-term achievement is a key component of success.

The Case Manager will liaise on all matters involving leave management programs and provides subject matter expertise on not only leave administration but also return to work specifics to HR-internal and -external leaders. This role leverages experience and industry knowledge to work collaboratively with our third-party administrator (TPA), expertly manage multiple projects and execute process improvement initiatives.

This position reports to the Director, Leave Management.


Key Responsibilities

  • Ensures compliance with policy according to state and federal regulations while taking into consideration the provision of the various collective bargaining agreements
  • Oversees absence claim management and communication with employees, managers and TPA
  • Independently reviews complex leave cases and validates whether they should be approved and/or denied based on relevant medical information
  • Serves as an expert resource on case management, requirements, SOP and leave program which includes new initiatives and projects under the general direction and guidance of HR leadership
  • Interprets physician’s orders, performs evaluations and assessments of modified work; reviews plan of care, treatment plan and/ or progress report; drafts and/or presents oral or written reports of an employee’s status
  • Educates employee about the return to work process, the interpretation of restrictions and techniques to restore capability and function
  • Advise employees about necessary follow-up actions; make recommendations and/ or provide guidance to department leaders as they support their employee in returning to work
  • May be called upon to conduct:
    • Job Demands Analysis
    • Ergonomic Assessments
    • Return to Work (RTW) Planning & Monitoring
    • Accommodations analysis
  • Maintains confidentiality of sensitive information; ensures compliance with HIPAA
  • Provides comprehensive performance management of HR Specialists and Administrators by actively providing guidance, direction, mentorship and coaching to shape and hone daily operations and beyond
  • Participates in special projects, audits, hearings/depositions and other duties as needed

Minimum Requirements

  • Bachelor’s degree in HR, Kinesiology or a related field or 7+ years relevant work experience
  • 1 year of practical application of physical rehabilitation
  • 3 years professional work experience
  • Understands the diversity of an employee’s needs and demonstrates the knowledge and skills necessary to assist the employee to return to work
  • Interprets occupational treatment plans and evaluates treatment against realistic, measurable, timely, and functional goals
  • Organized, detail oriented and able to manage multiple priorities
  • Proven ability to handle fast-paced environment and multiple priorities
  • Must be able to regularly exercise discretion, handle conflict and be firm when required
  • Communicates effectively and works collaboratively with third party service providers and all levels of employees

Preferred Qualifications

  • Current or former State OT, NBCOT, NPTE licensure or certification highly preferred
  • Experience in defining and implementing detailed leave management business processes
  • Demonstrated team lead, project lead or sponsorship experience (direct supervision most preferable)
  • Experience working in a unionized environment
