BOOKKEEPER / MEDICAL ADMINISTRATOR POSITION DESCRIPTION
Position Title: Accounting Specialist /Medical Administrator
Reports To: Executive Director General Description:

Marquis Health Solutions has an immediate need for an organized, reliable Bookkeeper/ Medical Admin. The successful candidate will be responsible for fulfilling administrative duties in the front office, including AP/AR. The Accounting Specialist prepares and maintains the financial records of our office, our clients and performs related financial bookkeeping tasks. He/she prepares and maintains client insurance records, files insurance claims and manages accounts receivables. Major Responsibilities: * Maintains financial records

  • Prepare and file insurance related materials working within our clients EMR such as e-clinical, advanced MD, Dr. Chrono, Athena
  • Perform financial tasks using QuickBooks and Medical Billing Software such as Advanced MD, Bonafide, Quickbase
  • Cross–functional office team member with excellent computer skills. Must be 10 + in Excel.

Examples of Work:
Maintain Financial Records

  • Insurance authorizations working with Availity, CMS, and other insurance companies
  • Record revenue on client accounts, day sheets and Office Software Program
  • Maintain payroll records using QuickBooks
  • Manage aged accounts
  • Maintain records on contribution
  • Prepare weekly reports on accounts
  • Record accounts payable and accounts receivable

Prepare and File Insurance Materials

  • Prepare and submit insurance claims
  • Data entry on insurance records and medical billing
  • Communicates with clients, staff and insurance companies about the insurance claims and payments
  • Manage electronic billing
  • Maintaining Medicare standards in filing claims
  • Maintain client files on insurance claims and payment

Perform Financial Tasks

  • Ability to be full charge bookkeeper
  • Send statements on outstanding accounts
  • Prepare payroll documents for payroll administrator
  • Prepare and send accounts payable checks
  • Prepare and make bank deposits
  • Maintain petty cash

Cross-Function Office Team Member

  • Welcome and orient new clients
  • Answer phone and respond to inquiries and requests
  • Schedule appointments
  • Take and distribute message for all staff
  • Run errands as appropriate and requested
  • Carries out other duties as assigned

Desired Experience and Qualifications: * An associate degree from a college or university with a major in accounting or comparable training and/or experience

  • Two years of office and financial experience with QuickBooks online
  • Knowledge of bookkeeping principles, methods, and practices
  • Ability to prepare clear and concise reports using Microsoft Office, Excel Spreadsheets
  • Ability to use standard office equipment
  • Ability to maintain confidentiality
  • Ability to deal professionally and effectively with the public
  • Demonstration of skills in MS Office (Word, Excel, PowerPoint, Access, Outlook) particularly Excel.
  • Proficiency with accounting and billing software (i.e., Quick Books, Therapist Helper)
  • Ability to manage a wide variety of activities and functions simultaneously
  • Dependable
  • Requires reliable transportation
