Janitorial & Facility Management Firm seeking a highly motivated Bookkeeper/Office Manager

Work Schedule

Monday- Thursday 8am-5pm

Friday is a off day/ flex day. You only come into office if projects for the week that are not 100 % completed

Bookkeeper/Office Manager will perform a variety of accounting, bookkeeping and financial tasks. Responsibilities include keeping financial records updated,preparing reports and reconciling bank statements. You will run accounting software programs to process business transactions, like accounts payable and receivable, disbursements, expense vouchers and receipts. Ultimately, will ensure that the company’s daily accounting functions run accurately and effectively. Will also be responsible for processing payroll for the company and work to handle minor HR tasks and minor small office management.

* Must be Bilingual

Detailed Responsibilities

  • Provide accounting and clerical support to the accounting department
  • Type accurately, prepare and maintain accounting documents and records
  • Prepare bank deposits, general ledger postings and statements
  • Reconcile accounts in a timely manner
  • Daily enter key data of financial transactions in database
  • Provide assistance and support to company personnel
  • Research, track and restore accounting or documentation problems and discrepancies
  • Inform management and compile reports/summaries on activity areas
  • Function in accordance with established standards, procedures and applicable laws
  • Constantly update job knowledge
  • Process payroll
  • Coordinate w/ HR outsourcing conpany to handle concerns and requests
  • Research problem invoices, interfaces with vendors, customer service team, and other appropriate staff to reconcil
  • Assists with month-end close and runs monthly reports as require
  • Prepares monthly banks and vendors reconciliations
  • Prepares and posts deposits, balances deposits on bank statements
  • Prepares checks and invoices as needed and reviews for accuracy.
  • Invoice and prepare small orders for shipping on daily basis
  • Performs general clerical duties including but not limited to filing, photocopying, faxing, typing, and mailing.
  • Assists with preparation of 1099s as needed.
  • Assists with special accounting projects as needed.
  • Sorts and distributes internal and external mail.
  • Minor HR Duties to include job posting, interview scheduling. completing employee requests, adding new employees, onboarding etc and payroll
  • Some office management tasks

Skills

  • Proven accounting experience, preferably as an Accounts receivable clerk or Accounts payable clerk
  • Familiarity with bookkeeping and basic accounting procedures
  • Competency in MS Office, databases and accounting software
  • Hands-on experience with spreadsheets and financial reports
  • Accuracy and attention to detail
  • Aptitude for numbers
  • Ability to perform filing and record keeping tasks
  • Data entry and word processing skills
  • Well organized

Job Type: Full-time

Pay: From $35,000.00 per year
