Job Description

This position provides administrative and clerical support for the benefit and compensation functions in the Human Resources Department, to include benefit eligibility and enrollment services, developing and maintaining benefit census, processing annual and contractual pay increases, and assisting with bi-weekly payroll entry. Develops and maintains records to support the benefit, compensation, and employee census data requirements of the department. Assists with the preparation of data used for proposals and decision-making processes initiated or assigned to the department.
Responsibilities:
  • Communicates and updates benefit vendors/administrators, accounting and payroll department, on bi-weekly, annual and monthly census in order to ensure enrollment accuracy for all benefit programs. Reconciles all monthly benefit invoices to reflect current census data and payroll allocations.
  • Addresses any benefit administration issues that new, current, or exiting employees may have.
  • Administers Benefits Open Enrollment and ensures all benefit elections are accurately reflected in Ellucian Colleague system and with the benefit vendors. All Open Enrollment benefit selections must be processed by the deadline set by vendors and payroll to ensure accurate reflection in the next calendar year.
  • Prepares annual wage memos and contracts for faculty, administrators and full-time and part-time hourly employees. Enters new wage rates into Ellucian Colleague system.
  • Ensures all new hire, transfer and separation benefit paperwork is complete. Follows up with Director of Talent Acquisition and/or Associate VP of HR as needed to ensure accuracy and timeliness of compensation/benefit issues.
  • Assists in maintaining benefit area on the Human Resources Website. Ensures website always portrays current information and forms.
  • Oversees and maintains employee personnel files, which may include training and overseeing student-workers in the tasks of updating personnel files.
  • Oversees the retention schedule for Human Resources documents as related to employee personnel files and benefit files. Ensures timelines are followed accurately.
  • Processes benefit and payroll set-ups, adjustments, changes, and stipends into Ellucian Colleague system on a bi-weekly basis. Must adhere to deadlines set by the payroll department.
  • Leads employee wellness initiatives. Assists in maintaining the wellness area on the Human Resources website.
  • Maintains records and ensures completion of the annual 1095c and ACA reports.
  • Works with programming department to ensure the college is following best practices in utilizing Ellucian Colleague system processes, including improving system batch processes and reporting.
  • Assists the Deans with monitoring the academic load of adjunct instructors and permanent part-time positions to ensure compliance with ACA requirements for maximum hours.
  • Cross-train within the department to learn aspects of other functions of the department and assist in other functions as needed; provide coverage when other team members are not available.
  • Assists in developing HR statistical analysis on various compensation and benefit initiatives. Prepares additional departmental statistical documents and reports as requested/required.
  • Completes employment verifications and PSLF requests as needed.
  • Provides input into the development and implementation of departmental objectives, policies, procedures and standards; recommends changes to departmental procedures as necessary to improve the efficiency of the institution’s Human Resources goals and initiatives.
  • Supports and serves as a role model for our mission, vision, values, and customer service initiatives. Adheres to the organization’s policies & procedures, and compliance guidelines. Ensures compliance with all federal and state regulations regarding any function of Human Resources.
  • Per the Jeanne Clery Disclosure of Campus Security Policy and Campus Crime Statistics Act (Clery Act),a federal consumer protection law, your job position entails functions that meet the definition of a Campus Security Authority (CSA). CSAs have a duty to report any crime to the College’s Clery Compliance Officer. This information may be disclosed to them directly, through third-party, or witnessed. As a CSA, you are required to complete annual training which is provided by the College. This training encompasses your role, responsibilities, and reporting obligations
  • Performs other duties as assigned.

Qualifications: Knowledge, Skills, Abilities:
  • Ability to learn and effectively enter and reconcile all benefit, payroll and compensation programs in an accurate and timely manner, as well as ensuring that adequate cross-checking review or controls are maintained.
  • Ability to work as a member of a multi-disciplinary team, and work effectively with multiple constituencies.
  • Written and computer skills necessary to prepare required reports, spreadsheets, analysis, and documentation of outcomes.
  • Interpersonal skills necessary to effectively communicate both in person and in writing with all employee groups, and address sensitive issues in a timely, professional manner.
  • Skills necessary to provide basic information and guidance to employees regarding Human Resources policies, procedures and programs.
  • Analytical ability to review data and systematically identify potential errors.
  • Mental ability to adapt, respond and prioritize to multiple demands in a fast paced, growth oriented environment, to deal effectively and in a timely manner with the concerns of faculty, administrators, employees and students.
  • Computer skills and competency with using excel, power point, and Microsoft word/outlook. Prior use of Ellucian Colleague, Informer, or other payroll, or HRIS systems.
  • Familiarity with visa requirements for non-immigrants is an asset.
  • Physical ability to sit/stand, and travel, for short - extended periods of time.
Education, Certification, Licensure:
  • Bachelor’s degree in Business, HR, Human Capital, Psychology or related field required.
  • HR certification preferred (e.g. SHRM, HCRI/PHR)
Experience:
  • Minimum of two (2) years of related experience, preferably in a college environment, required.
  • Previous Human Resources Generalist and Supervisory experience preferred.
  • Previous experience in recruitment, selection or training/development initiatives preferred.

Working Environment
:
  • The job responsibilities of this position are performed in an office environment which requires a professional image and demeanor, on-time attendance and reliability. The environment has little, if any discomfort due to heat, cold or dust. There is light noise within the environment.
  • There may be occasional travel to other college locations for meetings.
  • There may be occasional travel for conferences/training.
  • Duties are performed in an independent atmosphere without close direct supervision.
  • The job has intermittent periods during which continuous physical exertion is required, such as walking, standing, sitting, stooping, bending, climbing, lifting material or equipment, some of which may be heavy or awkward (5- 45 pounds).
  • Must meet reasonable and sometimes shifting deadlines, quotas, or demands for accuracy, and may be involved in some unpleasant situations.
  • Typical work schedule is 8:00am – 4:30pm with flexible or extended hours as needed by department demands.
