Full Job Description – Assistant Office Administrator / Billing Coordinator

We are looking for an Assistant Office Administrator/Billing Coordinator to assist in the smooth running of our law firm office. Your role is to help create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness, and communication.

A successful Assistant Office Administrator/Billing Assistant should also have experience with a variety of office software (email tools, spreadsheets and databases) and be able to accurately handle administrative duties.

Responsibilities Include But Not Limited To:

  • Maintain the office condition and help arrange necessary repairs
  • Assist with incoming phone calls and direct towards the appropriate party
  • Organize office operations and procedures
  • Coordinate with IT department on office equipment
  • Address employees’ queries – Billing, IT, time-entry, etc.
  • Edit billing time and cost entries to ensure invoices are completed in a timely manner
  • Forward invoices to clients via email or electronically through the e-billing process
  • Collect Data and Submit Weekly and Monthly Reports
  • Communicate with Vendors, Clients, Employees via Phone, Email, etc.
  • Cross-train to ensure efficient and effective coverage of duties

Requirements:

  • Knowledge of Office Administrator responsibilities, systems and procedures
  • Proficiency in MS Office (MS Excel and MS Outlook, in particular)
  • Hands-on experience with office machines (e.g., printers and scanners)
  • Excellent time management skills and ability to multi-task and prioritize work
  • Attention to detail and problem-solving skills
  • Excellent written and verbal communication skills
  • Strong organizational and planning skills in a fast-paced environment
  • Ability to work well in a team atmosphere
  • Proven experience as an Office Manager or Administrative Assistant is a plus
  • High School diploma
  • Associate’s and/or Bachelor’s Degree is preferred
