Job Description

Our Architectural Façade Solutions division provides exterior wall panel and other building envelope systems in a variety of product and installation options. We create custom facade systems for all needs in commercial construction. The Project Coordinator role is a key part of the team supporting Project Managers in all phases of assigned project(s) including coordinating shop drawings, job setup, vendor communication, maintaining schedules, supporting the submittal process, and more.
Responsibilities:

  • Support project managers with submittal process; including product samples, shop drawings, product specifications, closeout documents etc.
  • Provide administrative assistance to Project Managers throughout lifespan of a project. This includes but is not limited to:
  • Procuring Warranties
  • Submitting and maintaining Insurance Certificates (*Experience with OCIP/CCIP a bonus)
  • Procuring Bonds
  • Collecting signatures for contract & subcontracts
  • Miscellaneous data entry
  • Maintain and input data into job folders for active jobs on server, Spectrum, and Smartsheet
  • Communicate with vendors, contractors, and subcontractors
  • Meeting Minutes
  • Scheduling
  • Assist Estimating Department with pre-qualification paperwork
  • Miscellaneous office responsibilities

Basic Qualifications:

  • Proficiency with Microsoft Office
  • Experience with Spectrum, Blue Beam, Smartsheet preferred but not necessary
  • Time management and multitasking skills
  • Excellent organizational and planning skills
  • Superior verbal and written communication skills
  • Capable of working independently while maintaining deadlines
  • Ability to handle high-level sensitive and confidential information
  • No task too small attitude
  • Hard worker with an eye for detail
  • Talent for adapting to different audiences

Experience:

  • High School Diploma - Required
  • Associate or Bachelor s degree - Preferred
  • 1-3 years of previous experience in Project Coordination or Office Administration - Preferred
