Agent Operations Administrator needed for a top-ranking Real Estate Market Center in the Arlington Heights-Palatine area. With the help of this individual, the agents are hoping to focus more on selling Real Estate and much less on the back-end/daily administrative tasks. We are looking for an exceptional candidate who is willing to go above and beyond - just like other members of this team.

The AOA can be thought of as the “voice of value and equity” in the Market Center. This individual is driven, they exhibit a take-charge, results-oriented approach to goals and thrive seeing others achieve. They increase the productivity of associates by developing shared services and leveraged systems offered by the market center through building a team both in-person, and virtual and leveraging third-party resources as needed. They use this value to both attract and retain associates, while supporting associates’ growth in production. They monitor their success by inspecting net agent count and profitability, and they meet or exceed the standard of netting at least five associates per month.

This position provides support to the market center agents and Team Leader/Broker. The AOA facilitates new agent intake, orientation and helps agents acclimate to the KW systems and tools. The AOA also oversees the office technology and communication systems and support providers. This position helps coordinate new agent training, assists in organizing special events for the office, manages the KW intranet site, manages and updates the agent roster and more. You must have a strong understanding that the agents in our office are our clients. Connecting them with the tools and resources that Keller Williams offers is critical to their success.

This job will require someone who can work in a dynamic, high-paced, highly productive environment and who is willing to manage changing priorities on a daily basis based on the changing needs in the real estate market and the division. This position is for someone who is detailed and has a high level of experience. This person should know how to be fun and productive at the same time

Compensation:

  • Salary Range: $45,000 - $50,000
  • Paid Time Off (PTO) One week first year, Two weeks second year onward

These are the standards a well-above-average performer will maintain or exceed:

  • The onboarding process for agents, both experienced and new. Holding agent orientations, and one-on-ones with experienced agents coming on board. Help to share the Market Center value story.
  • The agent associate is the customer and as such, they will be tasked on occasion with assisting the agent in other duties not specifically defined (intranet applications and usage, and other general computer-use needs)
  • Minimally include experience in accurate banking and/or accounting services, general computer experience, and excellent administrative skills. They must be task-oriented, detail-oriented, and calm under pressure with some project management experience, general office skills, and purchasing knowledge.
  • First impression at reception for all agents and visitors handling phones, mail, incoming EM checks and MC calendar.
  • Organization. It is imperative to follow our system to stay ahead and on top of our agents' needs and their personal information at all times.
  • Work closely with Compliance on licensing and CE requirements.
  • Send weekly emails to staff and ALC announcing new agents, training, events, birthdays, anniversaries, and recognition.
  • Follow enrollment and onboarding process and checklist for all incoming and exiting agents.
  • Administrate Vendor Alliance Program and communicate with our Partners to fulfill our obligations.
  • Assist with all Market Center events, not limited to RED Day, training events, food drives, BOLD lunch coordination, weekly setup when in Market Center, and many other activities throughout the year.

Communication expectations:

  • Staff – To be responsible for correct intake paperwork from all new associates, daily activities of the Market Center, works closely with Leadership – daily
  • Sales Associates – Assist in connecting them to our resources – daily
  • Team Leaders – Morning huddle, pulse of the MC – daily
  • Prospective Sales Associates – To help with the intake/ transition process, transferring license, etc. – as needed
