Job Summary

Estrella Mountain Community College is hiring an Administrative Specialist Senior to work under the learning college philosophy (http://www.estrellamountain.edu/learning-college) which places learning first anyway, anyplace, anytime. This position supports the Behavioral Sciences & Cultural Studies division to execute highly diverse administrative services.

Essential Functions

25% - Provides administrative support to the Behavioral Sciences & Cultural Studies division; maintains financial and academic records/files; maintains and updates web pages according to established guidelines; maintains master calendar for Behavioral Sciences & Cultural Studies by scheduling appointments, programs, committees, and divisional meetings/events; provides office reception; manages multiline phone system; assists with the planning and implementation of various divisional events/programs and services including intercampus collaborations; supports the division by using technological skills and business systems such as FMS, Boexi, HCM, SIS, Google Calendar/Drive/Sheets/Slides/Docs, R25 reservation system, etc.

25% - Monitors and coordinates services such as maintenance, media, printing, and word processing with college/district departments and external organizations; coordinates and provides research assistance on special projects and programs; maintains statistical data for programs and services; orders textbooks, supplies; creates purchase orders and requisitions; maintains and tracks petty cash forms, tracks expenditures; assists with budget preparation, monitoring and maintenance assists with division mail pick up and distribution.

25% - Assists Division Chair with division responsibilities including but not limited to scheduling residential, adjunct and dual enrollment instructor evaluations, division classes, internal and external meetings and meeting rooms.

25% - Supports residential and adjunct Behavioral Sciences & Cultural Studies faculty by collaborating with faculty and other staff when needed/requested; accesses class rosters; orders and delivers supplies to instructors and classrooms; makes copies of course materials; provides basic computer related fax and copier support; prepares and maintains confidential personnel and payroll records; ensures documents (e.g. faculty and budget documents) remain current; assists with faculty orientation; assists with test administration; develops divisional promotional materials; performs other assigned duties which are commensurate to grade level of position.

Minimum Qualifications

Associate’s Degree and two (2) years full time equivalent of administrative office support or related experience providing a wide variety of administrative office support and/or administrative coordination activities.

OR

High school diploma/GED and four (4) years full time equivalent of administrative office support or related experience providing a wide variety of administrative office support and/or administrative coordination activities

Desired Qualifications

1. Experience maintaining files and records
2. Experience using Microsoft Suite and Google tools, such as Docs and Spreadsheets
3. Experience working with administrative personnel (division chair, deans, managers, etc.) for report preparation, data collection, and/or coordination of special events
4. Experience working with diverse populations
5. Experience reporting, scheduling and building course information using a system such as Student Information System (SIS) and using Business Intelligent Reporting (BOEXI) or similar systems
6. Experience maintaining financial entries, expenses and budgets in a system such as Financial Management System (FMS) or similar system
7. Two (2) years of experience in an advanced administrative position
8. Experience working in an academic setting

Special Working Conditions

Possession of a valid State of Arizona Class D Driver's License is required; employee must meet district minimum standards regarding driving:
