The Senior Administrative Specialist - Training manages the Command Training Program which includes assigning training, verifying training completion and updating training records. Manages the command Learning Management System (LMS). Performs other administrative tasks supporting the command sponsor program, leave administration and indoctrination.

Essential Duties & Responsibilities:

  • Manage the command Learning Management System (LMS).
  • Develop updates and implements Command Annual Training requirements and tracks and ensures 100% command training compliance.
  • Track course completion status for 300 personnel. Sends weekly reminders to Department POCs on training delinquencies.
  • Provide customer service/trouble shooting/ technical support. Ensures staff can access the training and record it properly.
  • Approve and file training course completion certificates.
  • Update the Training Page on the intranet site as required and coordinates required preparations for conducting command training sessions (ie. General Military Training) and other classroom training requirements
  • Manage the recording and filing of completion certificates on all required training; tracks and reports training completion rates weekly.
  • Review and process pay documents for incoming military members transferring to the command
  • Track and prepare correspondence for incoming personnel and updates the Navy Standard Integrated Personnel System (NSIPS)
  • As Command Leave Administrator updates personnel profiles in NSIPS for military personnel.
  • Receive and update the daily muster report for the Administration Directorate.
  • Provide personnel reports to the Immediate Superior in Command (ISIC) with current personnel onboard (Military, GS and contractors)
  • Updates check ins and check outs for the command in various systems
  • Coordinate monthly indoctrination for the command and collects inputs on the process for review.
  • Prepare and routs correspondence for the command as necessary.

Supervisory/Management Authority:

  • This position will not have supervisory or management authority

Education and/or Experience:

  • A High School Diploma or equivalent is required.
  • Must have at least ten (10) years of administrative work experience; Navy Yeoman experience preferred
  • Must have five (5) years of experience as a Learning Management System Administrator
  • Experience with Relias LMS preferred and strongly desired

Knowledge, Skills and Abilities:

  • Good command of the English language, grammar, composition, spelling, capitalization, punctuation and general terminology necessary to type a variety of material accurately.
  • Skills in operating a desktop computer, printer, scanner, facsimile, and other office-related equipment.
  • Proficient with Microsoft Office Suite to include: Word, Excel and PowerPoint.
  • Ability to follow oral and written instructions as assigned, such as software user manuals, correspondence procedures, and different manuals.
  • Knowledge of office procedures, filing system and various references and handbooks commonly used by the staff in order to assist with the maintenance of files and/or materials.
  • Knowledge of organization and functions sufficient to properly route mail and/or telephone caller to the proper individual(s).
  • Must have an active Secret Clearance or the ability to obtain one within a limited timeframe from hire
  • The ability to successfully pass a drug screen and a federal background check is mandatory

Work Environment:

  • This position is performed in an on-site climate-controlled office building. Currently during COVID restrictions, telework form home is authorized.
