Job Description
Overview: The Administrative Coordinator will provide critical program management support in the implementation of the program ensuring all tasks are coordinated and the program development is on schedule. The University of Arkansas for Medical Sciences Pathways Academy is an innovative comprehensive educational and community engagement program focused on preparing low-income K-12 students for educational and career opportunities in STEM and Healthcare disciplines. The Pathways Academy supports the aims of the Translational Research Institute and the Clinical and Translational Research Award (CTSA) by increasing partnerships with diverse stakeholders to expand the impact of clinical and translational research as well expanding clinical and translational research opportunities across the lifespan and in underrepresented populations. By focusing on healthcare disciplines, including cancer research and community health education for youth and their parents, the Pathways Academy is an effective mechanism to provide community engagement and education. This will increase the awareness, knowledge, and understanding of healthcare, research, and cancer-related concepts, processes, and careers.

Salary offered commensurate with experience.Responsibilities: Operational Support
  • Develop, facilitate, manage and coordinate the logistics and planning for all of Pathways STEM Academy
  • Maintain social media accounts for the Pathways STEM Academy
  • Provide support to the Pathways STEM Academy program by preparing correspondence and reports, communicating with stakeholders, and coordinating meetings
  • Provide support to the Pathways STEM staff, including but not limited to, maintaining calendars and arranging travel
  • All front office duties
Event Planning:
  • Facilitate meetings hosted by the Pathways STEM Academy Office, including but not limited to reserving space, preparing agendas and minutes, distributing and maintaining documentation, ordering supplies and food, and communicating with attendees
  • Plan and coordinate special events
  • Facilitate recruitment and guest visits, including but not limited to creating travel arrangements and transportation, organizing itineraries, and processing reimbursements
  • Process travel and all purchasing for the program
Budgetary Support:
  • Assist program with grant submissions, financial reports, and other routine duties.
  • Review and analyze grant financial reports and assures applicable funding guidelines are met and expenses are allowable to funding source
  • Project ending balances and prevent deficit accounts
Other duties as assigned:
  • Maintain confidential files and correspondence
  • Maintain office equipment
  • Travel may be required
Qualifications:Minimum Qualifications:
  • Bachelor’s degree in Public Health, Research, Business or related plus five (5) years of project or program management experience or related experience.
  • Proficient with computers (Word and MS Office preferred)
Preferred Qualifications:
  • Master’s in Public Health, Research, Business or related plus three (3) years of project/program management experience or related experience
  • Project Management Experience
