This position is located in Reston, VA

This position is not remote work

PURPOSE –


  • This position provides administrative support to the StarKist Executive team and corporate office, working with other Administrative Assistants to ensure the office functions smoothly.

PRINCIPAL ACCOUNTABILITIES –

  • Support Executive leadership with a variety of administrative tasks
    • Schedule and prepare for meetings, ensure conference rooms are available, assemble meeting documents and/or binders, and order meals if necessary
    • Submit expense reports on Executive’s behalf
    • Update and maintain Executive’s calendar
    • Coordinate and book travel arrangements on Executive’s behalf
    • Inventory, track, and process invoices
    • Other administrative and support needs that may arise for Executives

  • Support all corporate department teams with their day to day administrative needs
    • Schedule and prepare for meetings, ensure conference rooms are available, assemble meeting documents and/or binders, and order meals if necessary
    • Maintain product room, ensuring fully stocked at all times
    • Update and maintain department level calendars
    • Prepare packages for R&D, Marketing, and other departments
    • Prepare, review, and publish documents, memoranda, awards, and policies
    • Assist with trade shows by ordering supplies and attending as needed to support
    • Manage and maintain multiple databases and distribution lists
    • Work with departments to research and price match supplies or activities
    • Support the multiple charitable efforts that StarKist is a part of including preparing donations, organizing employee volunteers, and planning and executing events
    • Assist with onboarding and offboarding employees
    • Update intranet with corporate events and information
    • Other corporate support duties that may arise due to changing business needs

  • Office and facilities management
    • Assist in fostering a productive and healthy work environment
    • Manage vendor accounts and relationships
    • Order supplies as needed
    • Keep office space tidy and conducive for work, attending to facilities issues promptly
    • Act as receptionist welcoming guests and answering phones, directing calls as necessary
    • Collect and distribute packages and mail; prepare outgoing packages. Knowledge of shipping internationally is a benefit
    • Administer AMEX @ Work program, ensuring employees submit expense reports and pay bills in a timely fashion
    • Other office management tasks that may arise with changing business needs

KNOWLEDGE/EXPERIENCE/COMPETENCIES -

  • Associate’s Degree required, Bachelor’s Degree preferred; equivalent experience accepted in lieu of formal education and training
  • Proficient in Microsoft Office Suite, intermediate PowerPoint and Excel a benefit
  • Previous Executive Assistant, Administrative Assistant, Office Manager, or Receptionist experience extremely beneficial
  • Display professionalism while interacting with all employees, guests, and vendors
  • Maintain confidentiality at all times
  • Cooperative and collaborative attitude, willingness to go above and beyond job duties
  • Ability to prioritize and multitask
  • Occasional flexibility with schedule to assist with evening meetings. Outside business hours may also be required to ensure staff access to Administrative Assistant.
