Job Description

GasTOPS Inc. is seeking a self-motivated, highly organized individual with great communication skills to join our team as an administrative assistant. The administrative assistant will support the company vision by providing exceptional service to both internal and external customers. Applicant must be willing to learn new and varied tasks as needed.

GasTOPS’ primary focus is Diagnostics, Prognostics, Health Management solutions for rotary and fixed wing aircraft: providing critical component monitoring that leverages our unique industry leading technologies.

Position Responsibilities:

The successful candidate will:

  • Answer or transfer phone calls and take messages for staff members in a polite and professional manner
  • Welcome and direct visitors in a warm and friendly manner
  • Maintain reception area and all common areas at all times
  • Operate standard office equipment on a regular basis, including computers, printers, copy, and fax machines
  • Keep detailed and accurate records of visitor requests and of calls received
  • Receive deliveries, sort and distribute incoming mail
  • Purchase office supplies and take inventory as needed
  • Provide administrative support to front office managers
  • Arrange meetings and schedule appointments
  • Manage calendars, screen calls, and take notes in various meetings
  • Prepare and complete a variety of reports
  • Generate correspondence and provide formatting support of proposals
  • Coordinate meetings, luncheons, and engagements
  • Process expense reports using Deltek
  • Support accounting with various AR/AP duties
  • Schedule travel
  • Track shipments

Qualifications:

This position requires the ability to obtain and maintain a Secret U.S. Security Clearance.

Basic Qualifications (Required Skills/Experience):

  • High school diploma or general education degree (GED) required
  • 2-3 years of relevant experience in an office environment
  • Excellent written and verbal communication
  • Experience with various forms of office software and equipment
  • Able to write reports and prepare presentations
  • Proficient in Microsoft Office
  • Ability to work with staff across multiple disciplines
  • Ability to work with budgets and create spreadsheets
  • Strong phone skills
  • Comfortable multi-tasking and prioritizing tasks with minimal guidance
  • Punctual with strong attendance history

Job Type: Full-time

Pay: $15.00 - $20.00 per hour
