Job Description
Overview: The Administrative Assistant facilitates the efficient operation of all center’s programs and activities by performing a variety of clerical and administrative tasks. This is a highly visible position that requires interacting with state’s representatives for the organization Responsibilities:
  • Answer and transfer phone calls, screening when necessary.
  • Welcome and direct visitors and clients.
  • Maintain filing systems as assigned.
  • Retrieve information as requested from records, email, minutes, and other related documents; prepare written summaries of data when needed.
  • Respond to and resolve administrative inquiries and questions.
  • Coordinate with contractors and technicians, as necessary.
  • Prepare agendas and schedules for board meetings; record and distribute minutes or other records for meetings.
  • Maintain office supplies and coordinate maintenance of office equipment.
  • Direct the work of volunteers as needed. Assist in training volunteers and, at times, newly hired staff.
  • Perform other duties within the scope of the role, as assigned by supervisors.
Qualifications:
  • Associate degree required; Bachelor’s degree preferred.
  • Three to five (3-5) years of experience in an administrative role.
  • Excellent verbal and written communication skills.
  • Excellent interpersonal and customer service skills.
  • Proficient in Microsoft Office 365 (Word, Outlook, Teams, Excel, etc.) and related software.
  • Excellent organizational skills and attention to detail.
  • Basic understanding of clerical procedures and systems such as recordkeeping and filing.
  • Ability to work independently.
  • Ability to walk around the facility and a short distance from the center, including going up and down the stairs to and from the second floor, with or without reasonable accommodation.
  • Must be able to lift up to 25 pounds, with or without reasonable accommodation.
  • Must understand and support the mission of The Salvation Army.
