Job Description

We are looking for a self-confident Administrative Assistant who has presence, sense of urgency and excellent organizational skills. In this role, you will perform a variety of duties which include written and verbal correspondence, meeting and calendar management, coordination and arrangement of domestic and international travel, develop and implement technology solutions.

  • Communicate professionally and confidently; close collaboration with Division Support Manager and EA to the CFO and other Administrative Assistants from the Finance team.
  • Approach challenges with a positive and solutions-minded perspective.
  • Possess professional phone etiquette, manage heavy scheduling of appointments with senior-level professionals; both internally and externally.
  • Strong project management skills and the ability to pivot quickly and seamlessly.
  • Perform successfully in high pressure situations with strict deadlines.
  • Managing project deliverables with key stakeholders across the bank and third parties.
  • Take ownership of coordinating travel arrangements, domestically and internationally.
  • Process expense reports and invoices; partner with A/P and Purchasing departments to ensure timely payments.
  • Thrive on advancing your skills and knowledge and seek out opportunities for self-learning.
  • Embrace new technology and help identify opportunities to utilize technology.
  • Able to anticipate the needs of the Chief Data Officer, Head of IR and Finance leadership team. Take pride in thinking one step ahead for the people you work for, solving needs before they even arise in their minds.
  • Coordinate meetings and social activities on behalf of the managers you support.
  • Ability to communicate professionally and promptly with SVB Executives, Board members, analysts and investors.
  • Coordinate company quarterly earnings calls and press release announcements.
  • Supporting the Finance Tempe Site Leader in creating social events.
  • Planning logistics for monthly Finance Lunch & Learns.
  • Uncanny attention to detail in all aspects of what you do.
  • Partner with administrative teams across the organization on various projects.
  • Travel to our office in Tempe, AZ every quarter is required. Purpose is to connect with Chief Data Officer and the employees located in that office.
  • Position reports to the Division Support Manager of the Finance Office.

  • Excellent organizational skills, critical thinking skills, and possesses the ability to address multiples priorities, and meet deadlines.
  • Highly resourceful team-player, with the ability to also be extremely effective independently and get stuff done.
  • Proven ability to handle confidential information with discretion. Less is more.
  • Deliver under pressure and with changing deadlines flawlessly.
  • Excellent knowledge of MS Office.
  • Bachelors' degree or equivalent experience preferred.
  • A minimum of 3 years of responsible administrative support in a dynamic rapidly changing environment is required.
