Job Title: Billing Administrative Assistant

Department: Surgical

Status: Full-Time, Exempt

Reports To: Director of Finance

The ideal candidate has exceptional organizational skills, ability to multi-task, excellent communication skills (including written, verbal and telephonic), recent experience with MS Office especially Excel & Word, and a customer service attitude.

JOB SUMMARY:

The Billing Administrative Assistant works with the Director of Finance to ensure high-level tasks are handled promptly. This person also assists the CEO, COO and other leadership as needed.

The Billing Administrative Assistant’s main responsibilities include but are not limited to: faxing, scanning, filing, making copies, preparing outgoing mail, answering phones, etc., in addition to some coordination and tracking. This position will involve coordinating and communicating with provider billing personnel (external) as well as collaborating with internal personnel to ensure items requiring additional/special handling are worked and resolved in a timely manner.

The successful Billing Administrative Assistant is capable of taking phone calls, responding to simple inquiries from providers and other external contacts, and utilizing sound judgment in escalating issues to the Director of Finance, the CEO, or the COO as needed. Successful candidates show proven ability to multi-task at a high level and possess excellent organizational and communication skills.

DUTIES and RESPONSIBILITIES:

  • Answer phone calls, respond to simple inquiries, escalate issues to Director of Finance, CEO, COO as needed
  • Communicate with provider billing staff on a variety of billing-related items
  • Daily scanning of patient claims into file directory
  • Manage patient records
  • Execute administrative tasks such as faxing, scanning, making copies, preparing outgoing mail, filing, etc.
  • Utilize standard templates to compile business letters
  • Coordinate and track a variety of items requiring resolution in MS Excel (denials sent, appeals sent, customer refunds, provider refunds, provider reconsideration requests, etc.)
  • Record meeting minutes as needed
  • Data entry (cross-train as a backup)

EXPERIENCE and SKILLS REQUIREMENTS:

  • Associate Degree preferred. Some college and/or equivalent experience considered.
  • Experience as an administrative assistant, billing assistant or similar role.
  • Strong communication skills via multiple channels including phone, email, text, fax, etc.
  • Must be comfortable with technology, with the ability to adapt and learn.
  • MS Office experience required.
  • Outlook experience preferred.
  • Basic Excel skills.
  • Experience with data entry preferred.
  • Possess professional and effective interpersonal communication skills.
  • Possess the ability to be trained and adapt quickly.
  • Able to work in a high energy, fast paced environment.
  • Must be detail oriented and possess strong organization skills.
  • Must possess a strong work ethic.

Job Type: Full-time

Pay: $34,000.00 - $42,000.00 per year
