Overview: We are currently seeking a full time Finance Assistant to support our Accounting team, immediate opening working from our corporate offices in New York. Support finance team in the management of account related activities including transaction, closing and reporting/analytical tasks. This position also works with the account team in delivering services to the client in order to achieve organizational goals. Responsibilities:
  • Act as entry point for all invoicing documentation, vendor statements and notices.
  • Manage electronic mailbox relating to vendor submissions (invoices and inquiries).
  • Organize and manage database of invoice inventory used for payment processing.
  • Process all invoices in Yardi Voyager for payment.
  • Print and prepare monthly checks for mail distribution to vendors.
  • Review vendor statements and work with suppliers on discrepancies and resolutions.
  • Work with operators, as needed in resolving invoice discrepancies.
  • Record account activity and vendor discrepancy resolution.
  • Proactively review reports to ensure scheduling of timely payments.
  • Collaborate with Finance Manager and team to ensure completeness of materials (invoices) prior to payment processing.
  • Ensure department documentation and files maintained and updated as needed.
  • Support Finance team during monthly close to ensure completeness of work and posting of transactions to financial statements.
  • Ad hoc projects and reporting, as required.
Qualifications:
  • Proficiency in Microsoft Word, Excel, and Outlook.
  • Experience with Yardi Voyager preferred.
  • Exceptional problem solving, organization and attention to detail skill set.
  • Ability to work in a fast-paced, deadline oriented environment.
  • Must be detail-oriented to ensure accurate deliverables.
  • Must be fast learner with proactive attitude and able to handle multiple tasks at one time.
  • Strong and effective verbal and written communication skills.
  • Attitude – positive, always seeking to better our team, reaching out to bring value.
