Job Description

Ambulatory Management Solutions (AMS) is a unique practice management firm that supports Office-Based Anesthesiology (OBA) practices throughout Texas, Illinois, New York, and North Carolina. AMS is seeking to hire a full-time, Accounting Assistant (Data Management, Bookkeeping + Payroll) to help with data management, accounts payable, payroll processing, and bookkeeping. The ideal candidate has a basic level of clerical accounting experience and is an adaptable positive team player. This role will be hybrid, requiring up to a couple days a week in office (Chicago, IL) and remainder remote work.

Job Summary - The Accounting Assistant is responsible for helping the Accounting Team maintain all the day-to-day accounting roles, for multiple entities, including but not limited to:

  • Accounts Payable
    • Coding of vendor invoices
    • Data-entry of invoices with aid of AI system
    • Processing vendor payments within terms via Credit Card, Mineraltree and manual checks
  • Payroll
    • Processing bi-weekly payroll including wages, reimbursements and deductions
    • Enter payroll journal entry into QBO system
  • Data Reporting
    • Assist Accounting Manager with maintaining Ad hoc reports via PowerBI tool
    • Generating Month-end close reports via PowerBI tool
  • Accounts Receivable
    • Compiling monthly invoices for stipends sent to facilities
    • Monthly follow up with facilities on past due open invoices
    • Tracking when payment is received via QBO
  • Bookkeeping
    • Reconciliation of bank accounts & credit cards (approx. 20 accounts)
    • Maintain accounting system to ensure accurate & timely reporting
    • Maintain database of vendor W-9s
  • Ad-hoc reporting as necessary

Candidates for this position must possess the following:

  • Associate's degree in Accounting or equivalent business experience
  • Intermediate skill in Microsoft Office, including proficiency in Microsoft Excel
  • Knowledge of bookkeeping tasks
  • Familiarity of Generally Accepted Accounting Principles (GAAP)
  • Experience with Quickbooks Online (QBO) or similar accounting software
  • Prior experience with systems such as Transaction Pro, Auto-Entry, Divvy, Asset Panda, Power BI, ADP Workforce Now, Zenefits or Paychex is a plus
  • Must be a team-player, organized, detail-oriented and have the ability to multi-task
  • Maintain confidentially of sensitive information
  • Solid communication skills with strong work ethic
