Job Description
POSITION SUMMARY: The Account Assistant provides administrative support to the team or department in order to enable the team or department to focus on client servicing and selling. This position also provides assistance to other team members on special projects.

ESSENTIAL FUNCTIONS & BASIC DUTIES: ? Under guidance of the Account Manager, Senior Account Manager or Account Executive, provides day-to-day customer service support to customers by preparing information, managing data and producing documents in accordance with departmental service standards. ? Reviews all policies, endorsements, cancellations and audits for accuracy. ? Invoices all agency billed premium bearing transactions. ? Orders motor vehicle reports and prepares finance agreements. ? Issues certificates of insurance and auto ID cards same day requested. ? Performs administrative support duties which may include faxing, copying materials, answering incoming calls, processing incoming and or outgoing mail. ? Strives to return phone calls voice, mails and/or e-mails on same business day. ? Utilizes Worksmart to maintain documentation for all client transactions including, but not limited to: phone calls to or from the insured, to or from the insurance company, discussions and instructions given by the producer; any and all documents (letters, e-mails, loss runs, etc.) that relate to a specific client. ? Follows surplus lines procedure requirements including surplus lines letter to client with appropriate stamping of coverage document. ? Communicates with team members to establish priorities, manage work flow and ensure timely client deliverables. ? Assists Accounting and Claims Department personnel as needed. ? Fosters strong relationships with underwriters and carrier representatives and develops knowledge of carrier and underwriter administrative guidelines including on line rating programs. ? Responsible for maintenance of policy detail in AMS360, Work Smart and accurate file documentation. ? Follows all company and departmental policies and procedures. ? Participate in seminars and classes for skill and knowledge development. ? Performs other job related duties as assigned.

KNOWLEDGE, SKILLS AND ABILITY: Knowledge of commercial lines insurance and products is important. Proficiency in basic computer skills, such as Microsoft Office Suite, including Outlook, Word and Excel, agency management software, 10- key, scanning and e-mail attachments. Skill in developing excellent inter-personal and client relations; producing effective, accurate verbal and written communication, active listening with strong attention to detail to ensure document accuracy; organization and time management. Ability to interface and work collaboratively with all departments of the company and represent the company in a highly professional manner; be flexible and adaptable to new ideas from fellow employees and management; proactive and assertive; be forth coming with ideas and opinions with entire staff; uphold the highest level of confidentiality; prioritize and plan work activities using time efficiently; problem solve through integrity, sincerity and discretion; identify required tasks, execute appropriately and follow tasks through to completion; manage multiple tasks at one time; and follow policies, procedures and regulations. Present a professional, clean, well-groomed appearance.

EDUCATION AND WORK EXPERIENCE: High school diploma or equivalent is required. Minimum one (1) year of customer service, administrative broker and /or carrier experience or equivalent combination of education and experience required.

CERTIFICATES AND LICENSES: Obtain and maintain Property and Casualty Agents/Broker license

PHYSICAL/MENTAL DEMANDS: Physical Demands: The essential functions of the position may require frequent sitting, walking, repetitive use of both hands, light grasping with dominant hand, finger dexterity in both hands, near/far visual acuity, depth perception, field of vision accommodation and color vision; occasional bending, lifting/carrying of 10lbs or less, light grasping with non-dominant hand; requires seldom standing, walking, reaching overhead, firm/strong grasping with both hands. Mental Demands: The essential functions of the position requires the ability to read and write both simple and complex material, perform simple math calculations, and the ability to perform simple and complex tasks; complete forms, perform clerical tasks, analyze, synthesize and compile information, supervise, instruct and influence others; work with precision, follow instructions, meet time requirements, memorization and problem solving skills, and use of independent judgment. WORKING CONDITIONS: Work is performed inside in an office environment with moderate lighting and temperature. Work is performed using computer equipment. Work may be performed alone, with others, around others, and with verbal and face-to-face contact. Work may include extended days.
