Job Description

Location: ROSLYN, NY

Schedule: Monday – Friday, 9 am – 6 pm with the flexibility to work additional hours as needed

This candidate will provide first-class Office Manager to the principal in her Interior Design Firm which is focused on design and project management. This is a fast-paced and dynamic environment with significant interaction with high profile clientele and intricate invoicing that requires high touch service and discretion. The position requires the ability to anticipate the next steps, think creatively, be innovative, and solve problems to make the principal’s life easier. The successful candidate must be highly intelligent, dynamic, tech-savvy, confident, anticipatory, a multi-tasker, exceptionally well-organized, resourceful, and service-hearted.

· Must have 5 years experience as an Office Manager in a similar field with checkable references.

The essential functions are:

· Manage and optimize calendar. This is of the utmost importance and requires extreme attention to detail and follow up skills.

· Tracking the progress of multiple projects simultaneously while keeping a focus on each deadline.

· Understand the multiple steps and needs of each project cycle.

· Ensure consistent and accurate communication of schedule in addition to the daily review of upcoming schedule at end of each workday and coordination of schedule with staff and clients.

· Calm clear focused and quick learner with confidence to ask questions when unsure of anything.

· Accounting: Create, submit, and track business invoices as well as comfortable with collections.

· Proper email correspondence on behalf of the principal.

· Coordinate all travel (both domestic and international), ensuring ease, efficiency, and operational connectivity throughout.

· Take initiative to plan travel and ask appropriate questions to accommodate needs and be accessible when the principal travels occasionally to other time zones.

· Handle miscellaneous items in the office, including ordering lunch, stocking beverages, greeting visitors, etc.

· Coordinate office IT

· Develop strong rapport with vendors and team members while demonstrating flexibility and willingness to assist.

· Order office supplies, make sure all office equipment is always fully functional and provide general administrative support such as overnight mailings, copying, etc.

Required Skills:

· Develop strong rapport and communication with other team members.

· Ability to relate messages or instructions to others clearly, correctly, and in a timely manner while demonstrating flexibility and willingness to assist co-workers.

· Bachelor’s degree and five years’ related experience working with high profile executive required.

· Office Manager and bookkeeping experience strongly preferred.

· Demonstrated ability to take initiative, anticipate needs, and exercise independent/sound judgment.

· Tech-savvy skills for personal and business research.

· In-depth knowledge and proficiency of MS Office, Apple products, Adobe, Studio webware, Dropbox, and Skype/Facetime. Ability to learn a new design management program.

· Excellent communications and interpersonal skills; excellent people and project management skills.

· Acute attention to accuracy and detail in all aspects of responsibilities.

· Excellent ability to prioritize work.

· Excellent planning, time management, and organizational skills in a fast-paced environment.

· Able to handle sensitive information with a high degree of confidentiality.

· Ability to work full-time and be available via email after hours/weekends to respond to any occasional time-sensitive items.
