POSITION SUMMARY


As a Project Administrator, you will support construction Project Management and Engineer staff with administrative duties and promotes a team environment on large project sites.


What you’ll do:

  • Helps with on-boarding of new employees, managing New Contractor Orientation, and badging process for all employees
  • Assist Project Accountant with AR / AP
  • Manages timecards for all site personnel and maintains manpower lists
  • Assembles and distributes submittals, proposals, O&M’s to key personnel, records and updates meeting minutes, and maintains project log files
  • Assists Project Managers in tracking and creates field daily reports, creates and files electronic and hard copy files for each construction project, and sets up key party contact directories
  • Reviews and distributes documents/correspondence to field personnel
  • Archives files and drawings and manages calendars and schedules. Arranges meetings, conferences, and programs on and off construction site
  • Schedules meetings, conferences, and programs on and off-site, supervises office facilities, and orders office supplies
  • Spearheads local social activities
  • Perform other duties as assigned

What you’ll need to be successful:

  • Associate degree (AA) or one to two years related experience and/or training; or equivalent combination of education and experience
  • Experience entering data into an EPR system – COINS preferred, but any ERP experience is acceptable
  • Experience with MS Office, MS Excel and MS Word is required
  • Prior experience working in the construction industry is a plus
  • Ability to multi-task and to work under pressure with numerous interruptions
  • Flexibility to travel in and around the local Phoenix area to jobsites
  • Excellent customer service skills
