Position Summary

  • The HR Recruiting Assistant is primarily responsible for providing clerical and administrative support to the Talent Acquisition Specialist and Human Resources Departments in day-to-day operations.

  • Next Line Supervisor: Chief Executive Officer


DUTIES AND RESPONSIBILITIES

  • Provides assistance to the Talent Acquisition Specialist in the recruitment process, including telephoning applicants to schedule phone, video, and in-person interviews, securing appropriate conference space or virtual platform for interviews. Prepares interview packets/attachments for interviewers.
  • Assists Talent Acquisition Specialist with processing of all new hire documents, including the creation of Onboarding folders & information packets; performance of pre-employment checks, to include: professional licensure verification, scheduling and authorization of pre-employment drug screening; criminal background checks; and checks of the Excluded Parties Lists, and Office of the Inspector General’s (U.S. Dept. of Health and Human Services) List of Excluded Individuals/Entities Search (OIG/SAM checks).
  • Coordinates onboarding of contract, agency, and temporary staff with the appropriate agency representatives, including obtaining required paperwork, scheduling PPDs, and informing appropriate departments of any off-cycle start dates.
  • Conducts employment reference checks on all new hires.
  • Provides assistance to hiring managers in creating requisitions in Applicant Tracking System (ATS). Maintains and monitors sponsored and featured jobs on internet job boards such as LinkedIn and Indeed.com as well as industry-specific websites as requested.
  • Assists Talent Acquisition Specialist with maintaining warm candidate pipeline, which may include contacting past applicants for new openings, searching resume databases for passive candidates, and soliciting referrals from new hires and existing employees.
  • Assist with data entry and maintenance of candidate & new hire information in the internal ATS and online training system
  • Ensure that all applicants who do not meet minimum qualifications are declined within 5 business days of application.
  • Maintain employee referral program and ensure timely responses and updates to referring employees. Ensures that referral sources for all new hires are accurately tracked in ATS.
  • Assists Talent Acquisition Specialist and Volunteer Services staff in performance of camp volunteer Abuse & Neglect background screening
  • Perform monthly driving record checks and escalates flagged results to HR Director for resolution.
  • Performs audits of new hire and contractor files for compliance with organization and Joint Commission requirements.
  • Maintains current knowledge of all human resources and employment legislation.
  • Serves on HOC committees and workgroups as requested by the Director
  • Other duties as assigned by the Director, Human Resources and/or Chief Executive Officer.

QUALIFICATIONS

  • Associate’s degree in Administrative Services, Human Resources, Business, Human Services or related field, desired. Bachelor’s degree or equivalent combination of education and human resources job experience, preferred.
  • Minimum one year of experience in a human resources position; may include relevant administrative experience.
  • Excellent oral, written and interpersonal communication skills.
  • Demonstrated commitment to providing excellent customer service to both internal and external customers.
  • Demonstrated expertise in computer skills, including knowledge of word processing, database management and spreadsheet software, and graphic programs (Word, Excel, PowerPoint, Visio).
  • Strong organizational and time management skills, including the demonstrated ability to multi-task with attention to details, and ability to meet deadlines.
  • Demonstrated ability to work effectively with all levels of staff and management, vendors, governmental and regulatory agencies and personnel at all levels.
  • Strong problem-solving skills.
  • Demonstrated ability to work independently with minimal supervision, and as a team.

REQUIREMENTS

  • Current Maryland driver’s license and clean driving record. Reliable transportation a must.
  • Compliant with health screening and vaccination requirements of organization and position, including Influenza vaccination annually.
