SUMMARY
Under limited supervision, provides part-time administrative support to the Executive Director and Practice Manager. The Administrative Assistant will work on a wide range of administrative tasks to support a rapidly growing mental health group practice.
Essential Job Duties
- Embodies upmost professionalism, confidentiality, and helpfulness while in this role.
- Establishes and maintains cooperative and productive working relationships.
- Provides day to day administrative support.
- Manages a variety of special projects assigned by the Executive Director and Practice Manager.
- Organizes and maintains files.
- Orders lunches for meetings when requested.
- Gathers documents into Google Drive for review.
- Disseminates monthly client satisfaction surveys.
- Provides back up support for other administrative staff as needed.
- Completes projects and special assignments in a timely manner, as directed.
- Follow all Postpartum Wellness policies, processes, and procedures.
- Performs other related duties as assigned and required.
QUALIFICATIONS
Education and/or Experience
- Associate degree or equivalent preferred.
- Experience in coordinating and assisting in projects in an office setting.
- Or equivalent combination of experience and education.
Knowledge, Skills, Abilities & Behaviors
- Highly punctual and dependable.
- High level of accuracy and attention to detail.
- Ability to maintain discretion with sensitive or confidential information.
- Must have excellent organizational skills.
- Ability to work under direction of multiple people.
- Intermediate or higher proficiency of MS Office Suite (Outlook, Word, Excel and PowerPoint) and Google Drive.
- Ability to effectively manage multiple tasks, sometimes with conflicting deadlines.
- Ability to work independently and within a team setting.
- Familiarity with video conferencing applications and software.
- Excellent grammar, spelling and proofreading skills.
- Excellent written and verbal communication skills.
- Ability to work flexible hours occasionally as needed.
WORKING CONDITIONS
- Regularly sit while working on the computer; use hands and fingers to handle, control or feel objects tools or controls; repeat the same movements when entering data; ability to differentiate between colors, shades and brightness; read from a computer screen for extended periods of time.
- Frequently stand and walk around the office to gather supplies, use office equipment or collaborate with employees.
- Occasionally stand, stoop, lift or move objects, equipment and supplies weighing approximately 20-25 pounds up to 40-50 pounds.
- The noise level in the work environment is usually minimal.
