The Administrative Assistant maintains and supports the Peer Counseling Program for all general support and office duties. This encompasses documentation in the electronic database, ETO, providing administrative support for all grant funding related reports and compiling and monitoring data for reports, preparing reports, preparing groupand meeting calendars, marketing materials and general clerical duties.
DUTIES & RESPONSIBILITIES:
- General office duties: prepare general correspondence, forms, memos, purchase orders, check requests, etc.
- Set up and maintain filing system
- Complete reports
- Enter new participants into ETO. Enter weekly/monthly participant attendance data into the database
- Responsible for compiling and monitoring of data inputed and submitted by co-workers on a monthly, quarterly and annual basis.
- Schedule and set up trainings and in-services.
- Timely completion of attendance records
- Create monthly reports of participants waiting for assignment of peer counselors.
- Coordinate SPC training in conjunction with Manager of SPC.
- Inform county agency referral source when their referral has been assigned, closed or declined.
- Complete or assist in the compiling and completion of monthly, quarterly and final reports to funders.
- Maintain files on center’s participants, including intake, referrals and status updates.
- Available to work an occasional weekend day or evening for a special event.
- Responsible for creating basic art work for posters, flyers, and signage for the promotion of current program, trainings, educational programs, etc. in compliance with branding requirements.
- Complete room reservation documentation for meetings at PFS and in the community
- Development of SPC newsletter/calendar
- Other duties as assigned by supervisor.
. Requirements:- High school graduate/GED.
- Two years administrative office experience required.
- Excellent organizational skills.
- Reliable and punctual
- Strong computer skills including email, MSWord, MSExcel and Database management.
- Excellent understanding of modern databases and common statistical software
- Basic understanding of query language
- Excellent verbal and written communication skills.
- Positive presentation when dealing with the public, and /or participants at the Center.
- Maturity, good judgment, dependability, accuracy, and attention to detail.
- Flexibility and a team player
- Ability to work with people of diverse backgrounds
