Position Highlights

The Office of Assessment and Evaluation supports institutional effectiveness through consultation with faculty, staff, and community partnerships on the development of instruments and experimental designs informed by standard principles of measurement, assessment, and evaluation, including classroom tests, faculty and staff evaluation formats, and academic program development and evaluation.

The Examinations unit within the Office of Assessment and Evaluation, is responsible for test construction activities, curriculum mapping, administration of examinations for undergraduate medical curriculum and pipeline programs, data analysis and institutional outcomes reporting.

Under general supervision, this position will ensure testing resources and resource deadlines are met and will liaise with faculty and staff in order to perform essential duties. The functions of the position also entail regular student interaction, room scheduling, and planning resources for regularly scheduled exams, special accommodations, and other assessment-related needs. This position interfaces with all other departments, including basic science and clinical faculty, registrar, clerkships staff, other OAE staff, instructional technology, Information Technology staff, student development, admissions, and pre-clerkship curriculum staff.

This position requires occasional Sunday work to proctor exams.

Duties & Responsibilities
  • Develops and schedules program work plan in accordance with specifications and funding limitations; oversees daily operations and coordinates activities of program; determines priorities.
  • Confers with and advises staff, students and others to provide technical advice, problem solving assistance, answers to questions and program goals and policy interpretation; refers to appropriate department person when unable to respond.
  • Coordinates testing activities of program with interrelated activities of other programs, departments or staff to ensure optimum efficiency and compliance with appropriate policies, procedures and specifications.
  • Prepares periodic reports, financial statements and records on program activities, progress, status or other special reports for management or outside agencies.
  • Evaluates program effectiveness to develop improved methods; devises evaluation methodology and implements; analyzes results and recommends and/or takes appropriate action.
  • Reviews program documents independently or in conjunction with supervisor to determine acceptance or make decisions pertaining to program.
  • Develops and facilitates workshops, meetings or conferences; coordinates logistics, scheduling and participant communications.
  • Interacts and maintains liaison with students, faculty, staff and outside/community agencies in facilitating program objectives.
  • Handles and secures highly sensitive and classified information of testing material and student information for the College.
  • Liaises with faculty members to construct, tag, and deliver block examinations and clerkship formative assessments.
  • Makes purchases from exam vendors for equipment and supplies necessary for testing.
  • Provides exam support services, testing facilities, technology resource planning, test security, scores distribution, and student records.
  • Coordinates and oversees ADA testing accommodations for all students including pipeline and post graduate programs.
  • Other duties and projects as assigned.

Minimum Qualifications
  • Up to 1 year of relevant work experience may be required.
  • Bachelor's degree or equivalent advanced learning attained through experience required.

Preferred Qualifications
  • Previous experience in a student services, academic services environment, clinical setting or medical office.

  • Demonstrated effective verbal and written communication; excellent grammar, composition and proofreading skills.

  • Demonstrated advanced skills in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).

  • Ability to work independently, set priorities in a fast-paced environment with frequent interruptions, multi-task, meet deadlines, and manage competing priorities.

  • Previous experience working in a team-based environment.

  • At least 1 year of experience working in higher education in the field of medicine or health sciences.

  • Proficiency in Apple computer desktop software and familiar with using Mac OSX.
