Accounting Clerk

Position Summary

Reporting to the Accountant, the primary function of the Accounting Clerk is to assist and take care of basic office tasks that involve reporting, bookkeeping, research, as well as the resolution of discrepancies related to any of the tasks performed. This is a part-time position (18-24 hours a week) with a very flexible weekday schedule. The position is a regular position, not temporary. The office is located on the beautiful Doffo Winery property.

Responsibilities

Position will assist with both clerical and administrative tasks including preparing and processing documentation related to accounts payable and receivables, recording invoices and processing payments, preparing bank reconciliations and filing.

Duties

· Record daily journal entries

· Make daily updates to bank and credit card accounts

· Monthly reconciliation

· File invoices, payments, and company documents

· Assist Accountant in preparation of audits and financial reports

· Mail checks to both other businesses and employees

· Keep a thorough record of business transactions and enter data from daily sales registers into the company’s general ledger system

· Keep a thorough record of all company charges, as well as any refunds that have been issued

· Support Tasting Room by ordering supplies and contacting vendors

· Process invoices/bills so that they can be paid

· Follow up with vendors to notify them of payment and verify balance due

· Run errands to mail vendor payments

· Assist in payroll preparation, including checking employee timesheets, calculating commissions, updating payroll records and protecting confidential information

· Work closely with HR Manager to provide payroll and employee information, when needed

· Assist accounting personnel with any tasks conducted within the accounting department, or any tasks that require accounting personnel to take part

· Occasionally keep track of any consumer issues that require refunds and process credit card disputes

· Supporting management staff by performing any assigned accounting, payroll and clerical tasks

Requirements

· Must have accounting degree, certification, or applicable experience

· A comprehensive understanding of accounting practices and procedures

· Experience filing sales tax and excise tax with state and federal agencies

· Advanced knowledge of QuickBooks desktop version

· Advanced knowledge in Excel, creating functions and edit existing spreadsheets

· Ability to use 10-key calculator correctly

· The ability to act responsibly and ethically when working with sensitive financial information, whether it is information for the company, customers, or employees

· Solid communication and writing skills

· Computer literacy, specifically with accounting software program and spreadsheets

· The willingness and ability to comply with local, state, and federal financial regulations, as well as the regulations established by the company

· Attentive to detail, thorough, strong work ethic, professional, and courteous when working with others.
